Your Event on Filming Day: What the Crew Really Needs on Site

Contacts, schedule, access and equipment: what should be settled before filming day so you can focus on your event.

2 min read

A good event video begins before the first shot. When the essential information is settled in advance, our crew can get straight to work on site – and you can focus on your event.

Beforehand: Share the schedule and priorities

Send us the current programme with times, breaks and planned changeovers. Equally important: which moments absolutely must feature in the video? Who should be interviewed? Are there programme segments or guests that must not be filmed? This tells us what matters.

On site: Make communication and access straightforward

A designated contact with a mobile number helps resolve questions quickly and relay last-minute changes. Please also inform the venue of our arrival and clarify accreditation, vehicle access and access to the event area. This leaves enough time for setup and technical checks.

Coordinate technical requirements and interviews

To record speeches and presentations, we liaise with the event technicians. We need the appropriate contact in advance so we can agree the audio connection and camera positions.

If interviews are planned, we agree a suitable location and a time slot with the interviewees. The location can reflect the event – what matters is that the lighting, sound and background allow a good recording.

What you do not need to prepare

You do not need to stage scenes or plan every camera angle. We take care of composition, equipment and capturing the right moments. All we need is to understand your objectives and hear about schedule changes in good time.

In short: you provide the essential information and contacts. We take care of turning your event into a cohesive film.

Sounds like your event?
