Costs & Budget

How much does an event video cost? An honest guide

Why a video of the same event can cost 1000 euros or 7,000 euros — and which five decisions really determine the price.

What determines the price

An event video is not an off-the-shelf product. You pay for two things: the day a team and its equipment are working for you — and the days afterwards, when that same team sorts the footage, edits it and reviews it with you. Five factors determine where your project sits on the price scale:

  • Time on site. Four hours of coverage in the afternoon is a different undertaking from a full day covering setup through to the end of the evening event.
  • Cameras and people. One person with one camera is quite different from three cameras with direction, sound and lighting.
  • Sound. Interviews need microphones. Ideally, very high-quality ones — and these simply cost a lot of money. Relying on ambient sound alone is usually a false economy, leaving you with less material from which to build a story.
  • Editing scope. A compelling 90-second highlight film can come from a two-hour event — but a 90-second film from a 2-day event still takes significantly more work, because much more raw footage needs to be reviewed and organised.
  • Delivery deadline. If you want to publish something the day after the event, we are happy to set up an editing station on site, where an editor can review and cut the raw footage while the event is still taking place. This requires additional resources, which we factor into the quote.

The price range we work within

Event photography starts at 200 euros, event video at 790 euros and livestreaming at 990 euros — all excluding VAT. We can offer these highly competitive starting prices because the scope of the assignment is clearly defined. The work required must, however, remain within that agreed scope.

With good planning, a conference requiring photos, a highlight film with interviews and a recording of an entire presentation can be covered by a single videographer working across photography and video with 2 cameras. A multi-camera livestream, however, is a significantly larger undertaking: it involves not only more camera operators, but also extensive cabling, a live production control station and coordination of pre-recorded inserts.

How to recognise a professional quote

A transparent quote clearly states:

  • Who will be on site, when and for how long
  • Which services are included and which are not
  • How many rounds of revisions are included
  • When you will receive the finished work and in which file format
  • Where and for how long you may show the video

If any of these points is missing, ask. Not because anyone is trying to hide something, but because these are precisely the areas where unwelcome additional charges tend to arise later.

Save money without compromising the result

Three things can significantly reduce the price without making your video any less effective:

1. A clear event schedule. The more we know about your event, the better we can anticipate unexpected changes and avoid reserving more people and equipment than you actually need.

2. An interview spot at the venue. With good microphone technology, an interview can also be filmed spontaneously right in the event hall, for example after a presentation. Of course, we are equally happy to set up a dedicated interview area with lighting and a suitable background.

3. Decide early how long the video should be. If you know in advance that two minutes is enough, you will not be paying for a twelve-minute film.

What our quotes include

Tell us about your event and we will respond within one working day with a tailored quote — not a price list that looks the same for every event. It includes:

  • The assignment: date, start and finish times, location, and how many cameras and people will be on site.
  • The equipment: cameras, sound, lighting and, for livestreams, production control, video switching and internet connectivity.
  • The deliverables: which films or photos you will receive, their length and format — including vertical versions for social media if you need them.
  • The schedule: when the first cut will be available for review and when the final version will be delivered.
  • The rights: can you use the final video for your own purposes without time or geographical restrictions? With us, yes.
  • The price: an itemised total, excluding VAT. We charge a flat rate for travel within Vienna; travel outside Vienna is transparently charged according to the work and costs involved.

If it is not in the quote, we do not charge for it. If you request something extra on the day, we tell you what it will cost beforehand.
