Event Photography: What Happens to the Images After the Event
Between pressing the shutter and using the images come several stages: selection, high-resolution delivery, usage rights and delivery within 48 hours.

From memory card to publication
An event day rarely produces images that can simply be used straight away. Several stages follow the shoot:
- Selection. From several hundred shots, we retain those that are technically sound and show something meaningful: the speech, the conversation, the moment just before.
- Processing. Exposure, white balance, skin tones. With mixed lighting from ceiling spotlights, a projector and windows, this is the work you do not notice, but immediately feel.
- Cropping. An image for a homepage needs different proportions from one for a newspaper page or a story.
- Naming and delivery. File names people understand, folders people can find again.
How many images you might need
For a two-hour event with one programme block, 40 to 60 images make a good collection. For a congress with presentations, breaks and an evening event, that quickly becomes 150 to 250. These figures are based on experience, not fixed rules. If you have particular priorities — perhaps more portraits for the team, more details for social media or specific images for the press — please tell us what matters most. We will tailor the selection and coverage accordingly.
What the images should cover
A good event report needs three layers: the stage, the venue and the people. Stage shots alone feel like minutes of a meeting; venue shots alone feel like a brochure. It is the people in between who turn it into a story.
How we deliver
Delivery is usually via an online gallery or download link. The gallery is ideal for selecting, commenting and sharing directly within your team; the download link lets you collect the entire image package in one step. You receive high-resolution files (High Res) for web and print — plus versions prepared and optimised for LinkedIn and Facebook, ready to use without further editing.
Usage rights: What is standard and what costs extra
Standard rights cover distribution to press mailing lists and post-event coverage online and in print. This covers the usual activities after an event: a report on your own website, a press release with images, an article in the staff magazine.
It is different if the images are used for paid media — meaning sponsored campaigns — or for publication in major daily newspapers or advertorials. These incur additional costs. We tell you in advance what the agreed price includes, rather than billing you afterwards.
The second rights question also needs settling beforehand: may identifiable people appear in the published material? At events with corporate guests, permission to use images is often quicker to clarify than you might think — simply asking the question makes the difference between peace of mind and follow-up queries.
When you receive your photos
We usually deliver within 24-48 hours of the event. This is when follow-up coverage is still timely and memories are fresh — an illustrated event report has the greatest impact in the first two days.
Express delivery is also available: delivery by 12 noon the following day. If needed, we can even edit and hand over photos directly on site — for example, when images are needed on screens, in a presentation or in the press room while the event is still running. What is possible depends on the scope of the assignment; let us know and we will plan it properly.
Conclusion
Good event photography does not end with the last click. Selection, processing, cropping, delivery — and clear agreements on rights and delivery dates. Settle these points before the event and you get images that start working the next day, rather than files sitting in a folder.
