Rights, consent and music: what to clarify before filming

Who can appear on camera, whose consent do you need, and which music can you use? A practical overview for event organisers in Austria.

Why this needs to be settled early

A finished film you cannot publish is worthless. The good news: a few standard steps can help you stay on safe ground.

Notices at the entrance

Make it clearly visible that filming and photography will take place — at the entrance, in the invitation and in the registration confirmation. State how the material will be used: website, social media, internal communications, press.

Consent when individuals are the focus

  • Interviews with individuals: there is usually an implicit agreement between the interviewee and the media outlet or commissioning client. The presence of the camera clearly signals that the recorded video material may be used for publication.
  • Speakers on stage: usually covered by the speaker agreement — check whether recording and publication are included.
  • Children: consent from a parent or legal guardian, without exception.

Music

You cannot simply add music from streaming services or the charts to your film. We work with licensed music libraries; the licence is already included in the quote.

Brands and stage designs on camera

Partner and sponsor logos appearing in event footage are common and usually welcome. Just check whether any sponsor has requirements for how its brand is shown.

Not legal advice

This article offers planning guidance based on production experience, not legal advice. For sensitive subjects — such as recordings in healthcare or public-sector settings — also consult your legal department.
